Navigate

Go to Settings → Users

From the sidebar, go to Settings → Users. You'll see the Active Users page listing all current users with their name, email, contact, country, and action buttons.

Create User

Click "+ Create" to add a new user

Click the + Create button. A form will appear — fill in the user's full name, email address, and select their role from the dropdown.

Assign Role

Select the right role for the user

Choose a role based on what the user needs to do in YBP. Each role has different levels of access — be careful not to over-assign permissions to junior staff.

Accountant
Can access financial reports, invoices, and payroll data. No access to bookings or staff management.

Admin
Full access to settings, users, services, and reports. Second only to Owner.

Calendar
Can only view and manage the calendar and appointments. No access to settings, reports, or financials.

Manager
Can manage staff, bookings, and day-to-day operations. Ideal for a salon manager or team lead.

Owner
Full administrative control including billing, all settings, and user management. Assign only to business owners.

Calendar Access

Set Calendar Manage Access

Back on the Users page, click the Calendar Manage Access button. This controls which calendars each user can see — their own only, or all staff calendars.

Own Calendar Only
The user can only see and manage their own appointments. Other staff schedules are hidden.

All Employee Calendars
The user can view and manage all staff schedules — useful for booking management and oversight.

Tip: Match calendar access to the user's role. A Calendar role user should typically only see their own calendar, while a Manager should see all staff to handle bookings efficiently.

Save changes — user is now active

After setting the role and calendar access, save your changes. The user will receive their login credentials and can access YBP immediately based on the permissions you've set.

Users can reset their own password via Forgot Password
Edit a user's role anytime by clicking Edit on their row
Deleting a user is permanent and cannot be undone

Common questions about managing users in YBP.
Who can create or edit users in YBP?

Only users with the Admin or Owner role can add, edit, or delete other users. If you don't see the + Create button, your account doesn't have sufficient permissions — contact your account owner.

How do I change a user's role?

Go to Settings → Users, find the user in the list, and click the Edit button on their row. Update their role from the dropdown and save. The change takes effect immediately.

What is Calendar Manage Access?

It determines whether a user can view only their own calendar or all staff calendars. This is set separately from the user's role — click the Calendar Manage Access button on the Users page to configure it.

Is there a limit to how many users I can add?

Yes. The number of users you can add depends on your YBP subscription plan. If you've reached your limit, you'll need to upgrade your package to add more users.

Can a user reset their own password?

Yes. Users can click Forgot Password on the YBP login page and follow the steps to reset their password via email. Admins can also manually reset passwords from the user management area.

Can I delete a user?

Yes — click the Delete button next to the user's name on the Users page. Warning: this action is permanent and cannot be undone. Consider deactivating or changing the role instead if you might need the account again.
