How to Set Up Employee Payroll

Configure how each employee is paid — by worked hours, time at location, or commission percentage — and set individual rates all from one page.

Employees are paid based on the total hours they actually work. Best for hourly staff.

Navigate

Go to Settings → Employees

From the sidebar, click Settings, then select the Employees tab from the top options. This opens the Employee Payroll Details page.

Review the Employee Payroll Details table

You'll see a table listing every employee with four columns: Name, Calendar History, Payroll Type, Price Change, and Amount. Each row is one employee.

Set Payroll Type

Choose the Payroll Type for each employee

Click the Payroll Type dropdown for each employee and select one of three options. Each employee can have a different type.

Worked Hours
Paid per hour of actual work
YBP counts the employee's total worked hours in the pay period. Enter the hourly rate in the Amount field.
Time to Time
Paid for time present at location
Calculated from the employee's shift start to end regardless of appointment count. Enter the hourly rate in Amount.
Percentage
Commission on service revenue
Employee earns a % of the total revenue from their services. Enter the percentage (e.g. 50) in the Amount field.

Set Amount

Enter the rate in the Amount column

In the Amount column, enter the corresponding rate for the payroll type you selected. YBP uses this to automatically calculate total pay.

💡
Buffer time is excluded from payroll calculations — it's operational time only. Only actual service hours or shift hours count toward pay.

Price Change

Optional: Set employee-specific Price Changes

Click the blue $ Price Change button to set a custom price adjustment for that employee's services. This is useful if a senior employee charges more than standard rates for the same service.

Example: Your standard BIAB price is €63, but senior technician Vera charges €75. Use Price Change to set Vera's custom rate without changing the base service price.

Calendar History

Set Calendar History visibility per employee

The Calendar History column controls how far back an employee can see their own appointment history when viewing the calendar. Set this per employee based on your privacy preferences.

"Do not show previous data" is the most private setting — employees only see upcoming appointments, not historical ones.

Save

Click the save icon to apply each employee's settings

After setting the payroll type and amount for an employee, click the purple save button (💾) on the right of their row. Each employee must be saved individually. Employees can view their payroll totals from their own profile.

Common questions about setting up employee payroll.
Can I set different payroll types for different employees?

Yes — every employee can have a completely different payroll type and rate. One employee can be on Worked Hours at €13/hr while another is on Percentage at 50%. Set each row independently and save each one.

How is the Percentage payroll calculated exactly?

The percentage is applied to the total revenue generated by that employee's services during the pay period. For example, if Patty did €260 in services and is on 50%, her payroll is €130. YBP calculates this automatically from appointment data.

What's the difference between Worked Hours and Time to Time?

Worked Hours counts only the time the employee is actually performing services. Time to Time counts the full duration of their shift — from clock-in to clock-out — regardless of whether they had appointments or were idle during that time.

Can I change an employee's payroll rate later?

Yes. Go back to Settings → Employees, update the Payroll Type or Amount for that employee, and click the save button (💾) on their row. The change applies to future payroll calculations.

Is buffer time included in payroll calculations?

No. Buffer time is excluded from all payroll calculations — it's considered operational/preparation time, not billable work. Only actual service hours or shift hours (depending on type) are counted.

Where can employees see their own payroll?

Employees can log into their YBP profile and view their payroll totals from their personal dashboard. They see their earnings based on the payroll type and rate you've configured for them.
