How to Add & Manage Employees

Add team members, assign services, control online booking visibility, and manage calendar access — all from the Employee page.

What the Employee table columns mean
📋 Specialization
The employee's role or expertise — e.g. Nail Specialist, Nail Tech, Senior.
💅 Services
The services assigned to this employee. Clients can only book them for assigned services.
🟢 Online Booking
Toggle on/off. When on, this employee appears on your public booking page for clients to choose.
🗓️ Calendar Manages
The number shows how many calendars this employee has access to manage.
Step-by-Step

Navigate

Go to Employees

From the sidebar, click Employees. You'll see the full list of your team with their specializations, assigned services, online booking status, calendar access, and action buttons.

Create Employee

Click "+ Create" to add a new employee

Click the + Create button. Fill in the employee's details in the form — name, specialization, gender, description, and profile picture.

Link to User Account: If this employee also has a YBP login (e.g. they're also a User), link their employee profile to their user account so their calendar and payroll sync correctly.

Assign Services

Click "SERVICES" to assign what they can perform

After creating the employee, click the green SERVICES button on their row. This opens the service assignment panel where you can tick which services the employee can perform — and optionally set buffer time per service.

Important: Employees only appear as an option for a service during booking if they are assigned to it. Don't forget this step — otherwise clients won't be able to book them.

Online Booking

Enable Online Booking for the employee

In the employee list, find the Online Booking toggle for the new employee. Make sure it's switched on (green) — this makes the employee visible and bookable on your public booking page.

New employees default to OFF. If a client tries to book and can't find the employee, check that their Online Booking toggle is enabled. Also note: extras become inactive if the add-on isn't paid.

Calendar Access

Set calendar access with the Calendar Manages number

The purple Calendar Manages badge shows how many calendars this employee can view. Click it to configure whether the employee can see only their own calendar or additional ones. This is separate from the Users calendar access setting.

1 = employee sees only their own calendar
Higher number = access to more calendars
Managers typically need access to all employee calendars

Booking Link

Share the employee's personal Booking Link

Each employee has their own unique Booking Link — click the 🔗 LINK button to copy it. Share it directly with clients who always book with a specific team member.

Personal links are great for social media. Have each employee share their own booking link in their Instagram bio so clients can book directly with them.

Action Buttons

Edit, delete or manage services anytime

Each employee row has three action buttons — Edit to update their details, Delete to remove them, and Services to manage their assigned services and buffer times.

Permanently removes the employee. Cannot be undone — consider deactivating instead if temporary.

Common questions about managing employees in YBP.
Can I edit employee details later?

Yes. Click Edit on any employee's row to update their name, specialization, description, profile picture, or linked user account. Changes take effect immediately.

Why can't clients book a specific employee online?

Two things to check: (1) Make sure their Online Booking toggle is ON (green) in the employee list. (2) Make sure they have been assigned to the relevant service via the SERVICES button — employees only appear for services they're assigned to.

What does "Extras become inactive if add-on isn't paid" mean?

If your YBP plan has a limit on the number of employees included, any employees added beyond that limit are considered "extras." If you don't pay for the employee add-on, those extra employees become inactive and unbookable automatically.

Can employees view their own schedules?

Yes. If the employee is linked to a user account, they can log into YBP and view their calendar, upcoming appointments, and shifts. Their visibility is controlled by the Calendar History and Calendar Manages settings.

What's the difference between "Employee" and "User" in YBP?

An Employee is a team member who can be booked for services and appears on the calendar. A User is a login account with a role (Admin, Manager, etc.). One person can be both — create the Employee profile first, then link it to their User account via the Edit form.

Can I reorder employees on the booking page?

Yes. The Order column has a drag handle (≡) on the left of each row. Drag and drop employees to reorder them — the same order will be reflected on your public booking page.
