How to Use Gift Cards

Create gift card types with custom amounts, assign them to clients, and track balances and expiry — all from your Gift Cards Management page.

Set Up a Gift Card Type

Before assigning gift cards to clients, you need to create at least one gift card type. This defines the name, available amounts, expiry period, and the card image clients will see.

Navigate

Go to Marketing → Gift Cards

From your dashboard, navigate to Marketing → Gift Cards. The top section shows your existing gift card types. The bottom section shows all client assignments.

If you don't have any gift card types yet, you'll need to Edit an existing one or use the page to create your first card type before you can assign cards to clients.

Configure

Edit or create your gift card type

Click Edit on an existing card type to update it, or create a new one. Fill in all the fields to define how this gift card works.

Card Name
The internal name and what clients see on their gift card (e.g. "Gift Card Rotterdam").

Card Code
A short numeric identifier for this gift card type. Used internally for reference.

Gift Card Amounts
Enter the monetary values clients can choose from, separated by commas — e.g. 50,100,150,200,300. These become the selectable amounts when assigning a card.

Expiry in Days
How many days after assignment before the gift card expires. 365 = valid for one year.

Card Image
Upload a branded image for the gift card — your salon logo or a custom design. Shown to clients on their card.

Save

Check "Is Active?" and save

Make sure the Is Active? checkbox is ticked so the gift card type is live and available for assignment. Click Update to save your changes.

⚠️
Is Active? must be checked — if unticked, this card type won't appear when assigning cards to clients.

Assign a Gift Card to a Client

Once your gift card type is set up, you can issue individual cards to clients — each with their own unique code, amount, and expiry date automatically calculated.

Start

Click "+ Create Gift Card Assignment"

On the Gift Cards Management page, click the + Create Gift Card Assignment button in the top right. The assignment form will appear.

Select Card & Client

Choose the gift card type and select a client

Select the Gift Card type from the dropdown — it shows the name and available amounts. Then click Select Customer to open the client list and pick who to assign it to.

Set Amount & Date

Set the assigned date and amount

Set the Assigned Date (when the card was issued) and the Assigned Amount Online — this is the euro value loaded onto the card, chosen from the amounts you defined in the card type. The Balance field shows the current remaining value.

How it works for clients: Once assigned, the client receives a unique gift card code. When they book and pay, the gift card balance is deducted automatically until it reaches zero or expires.

Save

Click Save to issue the card

Click Save to issue the gift card. It will appear in the Gift Card Assignments table below with a unique auto-generated code, the client's details, balance, and expiry date.

The unique auto-generated code for this specific card. Clients use this code when redeeming their balance.

Balance
The remaining euro value on the card. Decreases each time the client uses it for a booking.

Expiry In
Shows the expiry date or "Expired" if past the validity period. Expired cards stay visible for your records.

Edit

Edit an assignment to update balance or date

Click Edit on any assignment to open the edit form. You can update the assigned date, assigned amount, or correct the balance if needed. Click Update to save.

⚠️
Balance edits: Manually editing the balance is useful if a client redeemed part of their card in-person and you need to sync the remaining amount in YBP.

History

Expired cards stay in your history

Even after a gift card expires, it remains visible in the assignments table. This keeps a full audit trail of every card ever issued — useful for client disputes or financial records.

Common questions about the Gift Cards feature.
Can I offer multiple gift card amounts (e.g. €50, €100, €200)?

Yes. When editing your gift card type, enter all the amounts in the Gift Card Amounts field separated by commas — e.g. 50,100,150,200,300. When assigning a card to a client, you choose which amount to load onto that specific card.

What happens when a gift card expires?

The card becomes invalid for new bookings, but it stays visible in your Gift Card Assignments table for history and records. Any remaining balance is no longer redeemable. You can manually extend a card by editing the assignment and adjusting the assigned date.

How does a client use their gift card when booking?

The client enters their unique gift card code during the online booking payment step. YBP deducts the booking amount from the card balance automatically. If the booking exceeds the balance, the client pays the difference.

Can I have more than one gift card type?

Yes. You can create multiple gift card types — for example, a standard card and a premium card with different amounts, expiry periods, or branded images. Each type is managed separately.

Can I add a branded image to the gift card?

Yes! In the Edit Gift Card form, click Choose File next to the image field to upload your salon logo or a custom gift card design. This image is shown to clients on their digital gift card.
