Gift Card: How to set It

Step-by-Step Guide to Managing Gift Cards on Your Booking Platform (YBP)

1. Search for Gift Cards

  • Go to the Gift Cards section.

  • Use the SEARCH bar to find specific gift cards by name, code, or customer.

  • Click RESET to clear the search and view all gift cards.


2. View Gift Card Assignments

  • Click VIEW ASSIGNMENTS to see details of assigned gift cards.

  • The table will display:

    • Card Name: Name of the gift card.

    • Code: Unique code for the gift card.

    • Customer: Name of the customer who received the gift card.

    • Email: Customer’s email address.

    • Balance: Remaining balance on the gift card.


3. Create a New Gift Card

  • Click CREATE ASSIGNMENT or go to the Create Gift Card section.

  • Fill in the details:

    • Card Name: Name of the gift card (e.g., “Gift Card Nail Salon”).

    • Card Code: Enter a unique code or let the system generate one.

    • Gift Card Amounts: Specify the amounts (e.g., 50, 100, 150, 200, 500).

    • Is Active?: Toggle to activate or deactivate the gift card.

    • Expiry in Days: Set the expiration period (e.g., 365 days).

    • Choose Image: Upload an image for the gift card (optional).

  • Click SAVE to create the gift card.


4. Assign a Gift Card to a Customer

  • Go to Assignment Gift Card.

  • Select the Gift Card from the dropdown (e.g., “Gift Card Ezones Rotterdam”).

  • Choose the Customer to assign the gift card to.

  • Enter the Assigned Amount Online (e.g., 200).

  • The system will update the Balance automatically.

  • Click SAVE to complete the assignment.


5. Edit or Delete a Gift Card

  • In the Gift Cards section, locate the gift card you want to modify.

  • Click EDIT to update details like the card name, amounts, or expiry.

  • Click DELETE to remove the gift card from the system.


6. Monitor Gift Card Usage

  • Regularly check the VIEW ASSIGNMENTS section to monitor:

    • Which customers have used their gift cards.

    • The remaining balance on each card.

    • Expiry dates to ensure timely usage.


Key Tips for Managing Gift Cards:

  1. Keep Track of Expiry Dates: Regularly review gift cards nearing expiration and notify customers.

  2. Promote Gift Cards: Use the platform to market gift cards to your audience.

  3. Ensure Unique Codes: Avoid duplicate codes to prevent confusion.

  4. Provide Support: Offer customer support for gift card-related queries.
