How to Use Integrations

Connect your YBP account with other companies, manage franchise access, and sync with third-party tools like Google Calendar.

Employee Request

Request an employee from another YBP company to cover shifts or appointments. When accepted, YBP prevents double-booking by syncing availability across locations.

Getting Started

Open the Integrations page

From your YBP dashboard, navigate to Integrations. Make sure the Employee Request tab is selected β€” it's the first tab on the left.

Make a Request

Click "+ Request Employee"

Scroll down to the Employee Requests section and click the + Request Employee button on the right. This opens the request form.

Enter Details

Enter the company code & select an employee

Type in the Company Code of the other YBP business, then click Get Employees to load their staff list. Select the employee you need from the dropdown, then click Send Request.

Wait for acceptance

Your request will appear in the Employee Requests table with a Pending status. Once the other company accepts, the employee's availability is synced automatically β€” no double-bookings possible.

Franchise Request

Give temporary calendar access to a user from another branch or company to help manage bookings. Access can be approved or revoked, and calendar visibility stays fully controlled.

On the Integrations page, click the Franchise Request tab β€” the middle option in the tab bar.

Make a Request

Click "+ Request User"

In the Franchise Requests section, click + Request User on the right side. The franchise request form will appear below.

Fill the Form

Enter company code, select users & send

Enter the other company's Company Code and click Get Users. Then select the external user you want to grant access to, and choose which user from your own company they'll be linked to. Click Send Request to submit.

What does "Select User from your Company" mean? This is the internal user who will be managing the shared calendar access. Choose the staff member who will be coordinating with the other branch.

Manage access anytime

The request will show in the Franchise Requests table. Once accepted, the linked user gets temporary calendar visibility. You can revoke access at any time from the Action column.

Connect Google Calendar

Open Google Calendar Settings

Under Third Party Integrations, find the Google Calendar card. Click the Settings button to begin the connection process.

Authorise

Sign in with your Google account

You'll be redirected to Google's login screen. Sign in with the Google account you want to sync with. Grant the requested calendar permissions to allow YBP to push appointments.

Use a business Google account β€” not a personal one. This keeps your appointment data separate from personal events and is easier to manage across your team.

Go Live

Toggle the integration Active

Once connected, flip the Active toggle on the Google Calendar card. From this point, every new YBP appointment is automatically pushed to your Google Calendar in real time.

Where do I find my Company Code to share with another business?

Your Company Code can be found in your Settings β†’ Company page. Share this code with the other YBP business so they can send you an employee or franchise request.

What's the difference between Employee Request and Franchise Request?

Employee Request is for borrowing a staff member from another company to cover shifts β€” their availability syncs so double-bookings are impossible. Franchise Request grants a user from another branch temporary calendar access to help manage bookings, without moving them as an employee.

Can I revoke a franchise or employee request after accepting?

Yes. Go to the relevant tab (Employee Request or Franchise Request), find the entry in the table, and use the Action column to cancel or revoke access at any time.

My Google Calendar stopped syncing β€” what should I do?

Go to Third Party β†’ Google Calendar β†’ Settings and use the Reset option to reconnect your Google account. Make sure the Active toggle is turned on after reconnecting.
