How to Use Resource Management

Assign rooms, stations, tools, and equipment to services so YBP automatically checks availability before confirming any booking — no double-use conflicts ever.

How this works: When a resource is assigned to a service, YBP automatically checks availability before confirming any booking. If the resource is already in use, that specific service is blocked — but the employee can still be booked for other services that don't need it.
Step-by-Step

Navigate

Open a Service and click "Assign a Resource"

Go to Settings → Services, find the service you want to add a resource to, and click Edit. Inside the service editor, you'll find Service Helper tags — click Needs room? or Needs tools? to start assigning a resource.

The Assign a Resource chooser screen appears. Select whether this service needs a physical space (room/station) or a piece of equipment (tool).

Add a new Room/Station or Tool/Equipment

If the resource doesn't exist yet, click + Add Room or + Add Tool. A modal appears — enter the name, quantity (how many you own), and an optional description. Click Save.

Manage Resources

View and adjust your Rooms & Tools list

The Rooms & Stations and Tools & Equipment screens show all your existing resources. You can adjust quantities using the +/- buttons, see which services each resource is assigned to, and edit or remove them.

Assign to Service

Assign the resource to a specific service

Click Assign on any resource to open the assignment screen. Select the services that need this resource and tick them. Click Save Assignment — YBP will now automatically check this resource's availability for every booking of those services.

Done! From this point, every time someone tries to book "Laser Hair Removal", YBP will check if the Laser Room is free. If it's already occupied, the time slot is blocked automatically.

Conflicts

YBP handles conflicts automatically

When all units of a resource are in use, YBP blocks further bookings for services that need it — showing a conflict warning. The employee is still available for other services that don't require the resource.

Common questions about Resource Management.
What's the difference between a Room and a Tool?

A Room or Station is a physical space where only one appointment can happen at a time (e.g. a laser room). A Tool or Equipment is an item shared between employees — it can be used simultaneously based on how many you own (e.g. 2 nail lamps = 2 simultaneous bookings).

Can one service need both a room AND a tool?

Yes. A service like Laser Hair Removal might need both the Laser Room (space) and the Laser Machine (equipment). Assign both using the Service Helper tags in the service edit form. YBP will check both resources before confirming a booking.

What happens if a resource is in use — is the employee blocked too?

No. Only the specific service that needs that resource is blocked. The employee can still be booked for other services that don't require the occupied resource. This keeps your schedule efficient.

How do I allow more simultaneous bookings for a service?

Increase the quantity of the resource. For example, if you buy a second laser machine, go to your Tools list, find the laser machine, and click + to increase the quantity to 2. YBP will now allow 2 simultaneous bookings for that service.

Can I assign the same resource to multiple services?

Yes. A Pedicure Chair can be assigned to both "Pedicure" and "Medical Pedicure" — the chair's availability is shared across both services. If the chair is in use for a regular pedicure, the medical pedicure slot for that same chair/time is also blocked.
